TRS Modernization Update Complete as of November 1st, 2024
UC Merced Payroll Services is happy to announce the successful upgrade of the Time Reporting System (TRS) Modernization!
This upgarde impacts all employees using TRS, as the view and feel has changed to a more modern layout. Users now see accessibility improvements throghout the system including improvement in mobile support, making the applicaing responsive and user-friendly across various devices and screen sizes. Please be reminded that the corre process for creating, submitting, and approving timesheets in unchanged.
- Please note, after the upgrade, users may encounter issues if their internet browser has cached an older version of the HTML and JavaScript pages. To mitigate this issue, it is recommended that all users clear browser cache prior to accessing TRS. Instructions for doing so are below:
Who is impacted? All employees using TRS.
What is changing? The view and feel of TRS to a more modern layout. Users will see accessibility improvements and updated graphics throughout the system.
What is not changing? The core process for creating, submitting, and approving timesheets is unchanged.
When is this happening? Friday, November 1st, 2024
Why is this happening? This cosmetic upgrade provides users with a modernized view of TRS while improving mobile support, making the application responsive and user-friendly across various devices and screens sizes.
Where can we see the new layout? Take a look at the updated TRS Modernization Job Aids on the TRS layout. In addition, Payroll Services in collaboration with HR LMS has updated the TRS Employee Training and TRS Supervisor Training on UC Learning Center (UCLC) / Learning Management System (LMS).
GRADUATE STUDENTS: Effective 10/1/2023, graduate student employees are required to submit monthly timesheets. General information related to reporting time in TRS is indicated below. Additional support information can be found here.
Access
Upon successful provisioning of an employee's TRS record, users will access the TRS system. They will use their UCM credentials to access the site.
Instructions for navigating the system, including how to report time as an employee and how to approve time as a supervisor, is located here. Search for "TRS" to show both employee and supervisor overview courses.
Approvers
A primary and secondary approver are required for each TRS record. You may select an optional third approver, but it is not necessary.
Approvers must have active records. Without an active approver, both the employee and approver will be restricted from accessing timesheets.
It is the department's responsibility to submit a request to update an employee's TRS approver information if the re-assignment was temporary due to a leave of absence.
Individual TRS Approver/Reports To Update: Use this form to request the change of an individual employee's Primary, Secondary or Optional Back Up Approver. You may additionally use this form to submit a change in the "Direct Report" of an employee. Please note: Change of the "Direct Report" data for STAFF employees will be forwarded to Human Resources for update in Saba (formerly Halogen).
Mass TRS Approver Change Request: Use this form to request the temporary or permanent reassignment of a primary, secondary or optional back-up approver for a group of individuals. "Reports to" updates can only be facilitated via the Individual TRS Approver/Direct Report Update form.

Deadlines
The Transactional Deadline Calendar for pay periods and timesheet submission deadlines can be found here.
- Bi-weekly paid employees will submit their timesheets by the end of their scheduled workday, every other Friday (Saturday if scheduled to work). Supervisors must approve by 10 a.m. the following Monday
- Monthly paid employees will submit their timesheets by the 5th of the month. Supervisors must approve by the 10th of the month.
Please read the letter and ensure you are meeting the requirements of time and attendance reporting on your required schedule.
