Summer Salary Guide

In accordance with University policy, eligible faculty members may receive additional compensation for work performed during the summer months. This page provides detailed Summer Salary information on eligibility, payment processing, deadlines, and escalation procedures for late requests.

Eligibility & Payment Limits

In accordance with University policy, eligible faculty members may receive additional compensation for work performed during the coming summer months.

During the summer, eligible academic year faculty may earn up to a maximum of one-third of the nine-month annual salary rate as additional compensation. A maximum of 57 days in the summer period are eligible for pay (3 months = 57 days).

During the summer, eligible fiscal year faculty may earn up to a maximum of one-month (1/11 or 1/12 of their annual salary rate allowed by APM 667) as additional compensation, provided they use vacation from their regular appointment (APM 600-14-c).  A corresponding number of accrued vacation days must be deducted. The month is calculated based on the number of working days in the month in which the effort is made. An effort split over multiple calendar months may not total to exactly one month of pay.

  • Academic Year: Professor, Acting Professor, Adjunct Professor, Visiting Professor, Lecturer, and Senior Lecturer with Security of Employment or Potential Security of Employment.

  • Fiscal Year: Academic Administrative Titles.

A deadline for Summer Salary Payment Requests will be enforced starting for the 2025 Calendar year.

Summer Salary Payment Requests submission must be received before November 1st of each calendar year. Summer Salary Payment Requests submitted after November 1st of the calendar year requires an additional questionnaire to be completed. Please include substantiation of funding with appropriate signatures where required.

Why enforce a deadline?  Auditors have been targeting research compliance at universities and have directed considerable focus on the usage of summer ninths/months.


What Is The Deadline For Submitting My Summer Salary Request Into Payroll Services?

All requests for summer salary should be made prior to Monday, April 5, 2025; however, Payroll Services acknowledges that with external sponsored funding that this deadline may not be possible.

Requests submitted to Payroll Services for processing -- by departmental staff, on behalf of the faculty -- prior to the deadlines listed below will be paid on the next monthly exempt pay date:

For example, in 2025:

  • For payment on May 31 (for effort in May), prior to 4/5/2025

  • For payment on July 1 (for effort in June and/or May), prior to 5/05/2025

  • For payment on August 1 (for effort in July, June, and/or May), prior to 6/05/2025

  • For payment on August 30 (for effort in August, July, June, and/or May), prior to 7/05/2025

Given the complexity of summer salary processing and UCPath-driven process requirements, timely submissions of summer salary requests will help to ensure on-time pay.

Requests received after the published deadlines will be processed on the next regular on-cycle payroll processing and will not be eligible for any off-cycle requests.


Academic Appointment Review Impacts

For those that are in the Academic Appointment review process and may have a 07/01/XX title change: Recommendation - Hold Summer Salary Payment Request for July/August until review is complete.

This will avoid erroneous pay under an incorrect title and a need for a billing on the reversal (Overpayment Billing).


Escalation Process for Prior Year Request for Summer Salary Payment

Requests for Summer Salary Payment received on or after November 1st for the current calendar year or for prior calendar year(s) will need to be reviewed via the Summer Salary Escalation Process outlined HERE.


Roles & Responsibilities

Faculty:

  • Responsible for working with School representative to request Summer Salary Payments on time per the published deadlines on Payroll Services website.

  • Responsible for reviewing earning Statements every pay period to and ensure confirm that there are not any omissions, inaccuracies, underpayments or overpayments. Any discrepancies in pay should be reported to School Representative for review immediately.

School Representative:

  • Responsible for initiating the paperwork for the issuance of Summer Salary Payment within published deadlines for timely payment.

  • Complete a reconciliation of the Distribution of Payroll Expense Reports at least monthly to ensure accuracy and completeness of expected payroll expense. Please review for any inaccuracies and report any issues timely to the Payroll Services team via appropriate channels.

  • Summer Salary Payment Requests submission after November 1st of the calendar year requires an additional questionnaire to be completed. Please include substantiation of funding with appropriate signatures where required. Complete and attach Questionnaire to requests with substantiation of funding.

APO:

  • Responsible for the review of the Summer Salary Payment Request, ensuring its accuracy, completeness and adherence to APM policy requirements.

  • Policy questions regarding summer compensation for faculty may be directed to APO via email academicpersonnel@ucmerced.edu

Payroll Services:

  • Process the Summer Salary Payment requests received.

  • Review entry input against form submission for data entry errors.
