Payroll Services, WFA & HCM Fall Updates Advisories

August 29, 2024

The Payroll Services, Workforce Administration and Human Capital Management teams have been engaged in various current projects focused on enhancing user experiences, streamlining workflow processes, and ensuring compliance with policies. A number of Fall projects and advisories include:

  • The campus’ Time Reporting System (TRS) will be rolling out an enhanced web page experience, with modernized features coming later this Fall semester.
  • With Kissflow, Payroll Services is transitioning all forms into an automated online form that will provide a one-stop-shop for Payroll form submissions, along with streamlining processes and providing process transparency. A project since Summer 2024, the project team is in the building phase, with additional information regarding testing and implementation to be provided as Fall semester progresses.
  • UCPath Access Audit. Beginning this Fall, the Payroll Services – Human Capital Management Systems team will begin performing an UCPath Access audit to ensure UC Merced’s compliance with Information Security and Privacy policies. The team will coordinate with various division and department partners to review UCPath access to ensure conformity to policies.
  • UC Path Distribution of Payroll Expenses (DOPE) Report Advisory. UC Path Center has hard coded the UC Path Cognos Distribution of Payroll Expenses (DOPE) report to only to pull the last three fiscal years of data.
    • What does this mean? This change will impact DOPE report results. Regardless of date parameters input into the query fields, only the last three fiscal year's of data will populate. UCPath has made this change due to the extremely large (volume) data sets for the UC as a System.
    • UCM has placed a notice with our campus specific DOPE report job aid on our website to alert of this standard. We are actively working with UCPATH Center to come up with a solution to gain access to the historical data through another UCPATH Cognos report. We have also been working with UC Merced OIT Data Services on a local campus DOPE report (for the last year), but that is not near completion.
    • Critical effort-related payroll reports can be found in the Effort Reporting System (ERS) as needed for payroll compliance on sponsored-related contracts or grants. If you need help in retrieving ERS payroll reports, please reach out to the Project Portfolio Financial Management team at ppfm@ucmerced.edu
    • Updates to be provided to Chief Administrative Officers and on the DOPE Job Aid as information becomes available.
